SaaS vs Self-Hosted Help Desk: What the Software Really Costs

A SaaS vs self-hosted help desk comparison is not only about the licence price. It is also about how agent count, time, infrastructure and operational responsibility affect the total cost. A recurring SaaS subscription can be convenient, while a one-time licence can reduce long-term software costs when your organisation is equipped to run the system itself.

This guide compares three commercial models: per-agent SaaS subscriptions, self-hosted software with recurring licence fees, and a self-hosted perpetual licence with optional updates.

Why per-agent SaaS pricing becomes expensive

A SaaS help desk normally charges a recurring amount for each agent. The basic calculation is simple:

Monthly plan price × number of agents × number of months

A €55 monthly plan sounds manageable in isolation. For ten agents, however, it becomes €550 per month, €6,600 per year and €33,000 over five years. If the team grows, the subscription grows with it. Optional AI, reporting, quality-assurance or service add-ons can increase the total further.

A one-time licence works differently. The software price does not repeat every month and does not increase merely because another support agent needs access.

An illustrative per-agent SaaS cost comparison

The table below uses an illustrative range of €20–€55 per agent per month, representing lower-priced and mid-tier per-agent plans. These are calculation examples, not quotations for particular vendors. SaaS plans and prices change, so compare the result with the current plan that actually contains the features your team requires.

TaskBridge: €4,449 once for a perpetual licence with unlimited agents.

5 agents€1,200–€3,300€3,600–€9,900€4,449 once
10 agents€2,400–€6,600€7,200–€19,800€4,449 once
20 agents€4,800–€13,200€14,400–€39,600€4,449 once
50 agents€12,000–€33,000€36,000–€99,000€4,449 once

These figures compare software licence costs only. They exclude VAT, hosting, administration, migration, optional services and any vendor-specific discounts. They also do not represent flat-rate hosted plans, which can cost substantially less than per-agent SaaS. See the current TaskBridge pricing page before making a purchase decision.

Self-hosted software can still charge every year

Self-hosted describes where the application runs; it does not guarantee a perpetual licence. Some self-hosted help desk products require an annual licence or maintenance payment for continued use, access or entitlement to current versions.

TaskBridge separates ownership of the purchased version from future releases. You pay once for a perpetual licence and may continue using that version. The yearly updates programme is optional: while it is active, it provides standard releases, including security fixes, defect fixes, compatibility work and new standard features. Your organisation decides whether to purchase that programme and when to test and deploy each release.

How to calculate your break-even point

To estimate when a one-time licence becomes less expensive than a recurring subscription, divide the one-time licence price by your current monthly SaaS cost:

One-time licence ÷ (monthly price per agent × number of agents)

Using ten agents, the illustrative range produces different results. At €20 per agent per month, €4,449 ÷ €200 is just over 22 months. At €55 per agent per month, €4,449 ÷ €550 is just over eight months. This is a software-licence comparison, not a claim that running infrastructure is free. Use your actual invoice and add your hosting and operational costs before deciding.

What the TaskBridge one-time licence includes

  • Unlimited agents and end users without a recurring per-seat licence
  • A self-hosted help desk deployed on infrastructure you control
  • Delivery as one Docker container
  • Full source code for internal review and customisation under the licence terms
  • Email-first ticket handling, roles, departments, reporting, 2FA and an audit log

The licence is source-available, not open source: you may adapt the supplied code for your organisation, but you may not redistribute or resell TaskBridge.

Costs that self-hosting does not eliminate

A fair comparison must include the work that a SaaS provider normally performs for you. A self-hosted help desk still needs suitable infrastructure, backups, monitoring, security updates and someone responsible for operating it. Depending on your environment, you may also budget for migration, internal administration and professional assistance.

If your organisation already runs Docker workloads and has an IT team, those responsibilities may fit naturally into existing operations. If nobody wants to maintain an application or server, a vendor-managed SaaS product may be worth its continuing subscription cost.

When SaaS is the better choice

  • You want the vendor to operate the application and its infrastructure.
  • You need a large marketplace, extensive omnichannel capabilities or vendor-specific integrations.
  • Your agent count is very small and you expect to use the system only briefly.
  • Your organisation does not have the technical capacity to run a Docker-based application.

When one-time fee help desk software makes sense

  • You expect to use the help desk for several years.
  • Your team has enough agents for recurring per-seat fees to become material.
  • You require ticket data to remain on infrastructure under your control.
  • You want control over updates, deployment timing and application changes.
  • You prefer owning a source-available system to renting access indefinitely.

Frequently asked questions

What costs can remain after the one-time licence?

The TaskBridge licence is paid once, and you may continue using the purchased version without renewing it. If TaskBridge runs within infrastructure and operational processes your organisation already maintains, the additional cost may be limited to the capacity and staff time it consumes.

You may also choose the optional €900 yearly updates package. During the active period, it provides new standard TaskBridge releases, including security fixes, defect fixes, compatibility work and new standard features. The package is not required to continue using the version you purchased.

Any new infrastructure, external services or additional operational work your deployment requires should be calculated separately.

Can we add agents without buying more seats?

Yes. TaskBridge includes unlimited agents and end users, so the licence cost does not rise when the support team grows.

Is TaskBridge a cloud service?

No. TaskBridge is self-hosted and runs on infrastructure controlled by your organisation. That gives you responsibility for operating it as well as control over the application and ticket data.

How should we compare it with our current help desk?

Use the plan and add-ons on your real invoice, multiply the recurring cost across the period you expect to keep the system, and include the internal cost of operating a self-hosted application. A demo can then confirm whether TaskBridge covers the workflow you actually need.
